JOB SUMMARY

The Marketing Operations Coordinator will manage the end-to-end lifecycle of physical marketing assets, promotional merchandise, and print production ensuring regulatory and brand compliance. This role acts as a centralized operational hub, ensuring that all physical materials are produced efficiently, managed transparently via strict inventory controls, and distributed seamlessly to support sales acquisition, client-member engagement as well as local product launches, campaigns, and brand-segment activation events.  

ESSENTIAL FUNCTIONS

  • Lead the development and submission of critical mandatory marketing materials for Open Enrollment readiness, including brochures, sales kits, and engagement tools for members and providers. Coordinate the translation process for all materials to ensure accuracy across English and Spanish versions.
  • Responsible for the meticulous revision of documents against CMS and ASES regulations to ensure 100% compliance. Perform final quality checks on all documents before they are delivered for printing and final distribution.
  • Coordinate the production and fulfillment of all physical marketing collateral, signage, and promotional merchandise, ensuring 100% alignment with enterprise brand guidelines and compliance with federal (CMS) and local regulators (ASES, OCS).
  • Work with creative agencies and local print/merchandise vendors to secure production specifications, manage proofing processes, and maintain high-quality execution.
  • Establish an approved corporate promotional item catalog to standardize merchandise options, ensuring consistent branding and eliminating fragmented, unauthorized spending across departments. Ensure alignment with key business partners/area’s needs. 
  • Own the centralized inventory management system for all physical marketing assets, tracking stock levels, storage location, and distribution velocity across the island.
  • Implement data-driven inventory controls, setting strict minimum thresholds and reorder points to prevent distribution downtime for critical field and member activations.
  • Work with VMO office and Facilities teams to coordinate warehouse logistics, vendor deliveries, and kit assembly for complex, multi-site distributions.
  • Partner closely with LOB Marketing Managers and Operational Areas to forecast material requirements for upcoming campaigns, open enrollment windows, and Stars-driven clinical engagement initiatives.
  • Conduct routine audits of inventory usage, generating cost-efficiency and waste-reduction reports to continuously optimize marketing operational expenditure (Opex).
  • Consolidate vendor orders across lines of business to maximize procurement scale and negotiate volume discounts.

EDUCATION

  • Bachelor's Degree in Business Administration or Marketing

EXPERIENCE

Bachelor’s degree in business administration, Marketing, or Organizational Development with 1 to 3 years of experience in similar functions in the Medicare Advantage industry.
