JOB SUMMARY

Performs administrative functions and offers service to all patients who visit the clinic, providing assistance and guidance in the registration process. Ensures compliance with both the service and billing standards established by the Clinic, as well as patient expectations. Collects, organizes, and presents data to resolve specific situations and/or problems. Anticipate customer needs and channel them with management so that action and/or anticipatory measures can be taken, according to established standards.

ESSENTIAL FUNCTIONS

  • Responsible for receiving and caring for the patient, either in person or by telephone, offering help according to their particular needs. 
  • Guides the patient about the services provided by the clinic, the billing process for medical plans, and informs them about outstanding balances.
  • Responsible for creating the file, registering in the system and updating the demographic data of all patients on each visit to the clinic. Check-in of patients and confirm attendance. 
  • Assists the team in the efforts to contact outpatients, including, but not limited to follow-up through telephone contact, scheduling and confirming appointments. 
  • Participate in recruitment or outreach strategies to attract or maintain clients.
  • Responsible for processing the eligibility of procedures with insurers in the system, updating the information and carrying out the corresponding changes.  Verify the deductible that applies to charge for services provided to the patient.  Ensures that patient documents are properly completed and signed for billing purposes for medical services.
  • In charge of placing the completed records in the assigned areas to be used by the nursing area or the patient's doctor.  Supports the nursing and billing department in relation to medical record management.
  • Responsible for performing data entry according to the diagnosis and/or procedure codes identified by the doctor on the super bill sheet. 
  • Responsible for verifying the petty cash delivered and at the end of the shift, recording the delivery in the petty cash book and then depositing it directly into the safe box. Responsible for daily recording of the transactions carried out, printing the reports detailing charges and payments by posting and the summary of patient payments. Record daily balances in the logbook and deposit the balance envelope directly in the safe box. 
  • Responsible for filing the documents generated in the medical visit and placing the billed files in the audit file in numerical order.
  • Attends and participates in periodic team meetings for the purpose of sharing relevant information regarding patient care and health needs and other information that promotes efficient patient care. Participates in quality improvement activities.
  • Responsible for guiding and encouraging the client to complete the health services satisfaction survey during the checkout process.

EDUCATION

  • Technical Course in Health or Office Systems
  • High School Diploma

EXPERIENCE

Technical Course, preferably in areas related to Health Sciences or Office Services Administration, with 6 months of related experience in clerical functions, preferably in the Health Industry. Or instead, High School Diploma with a minimum of 1 year of experience in clerical roles, preferably in the Healthcare Industry.
